Job Overview
We are seeking a highly organised and proactive Administrator to support the day-to-day operations of a specialist
manufacturer of trade aluminium windows, doors, and glazing systems supplying residential, installer, and commercial
markets nationwide. This role is central to ensuring smooth administrative processes, excellent customer service, and
efficient coordination between sales, production, and clients.
Key Responsibilities
• Handle incoming telephone calls and email enquiries, directing queries to the appropriate department or resolving
them directly where possible.
• Provide administrative support to sales, estimating, and operations teams.
• Process customer enquiries, quotations, and orders accurately within internal systems.
• Maintain customer records, project files, and order documentation.
• Coordinate showroom bookings, confirming appointments and managing schedules.
• Liaise with customers, installers, contractors, and suppliers regarding orders, specifications, and delivery updates.
• Prepare and issue order confirmations, acknowledgements, and documentation.
• Monitor order progress and update customers on lead times and delivery schedules.
• Support production planning by ensuring all required paperwork and information is complete.
• Assist with generating reports, sales information, and internal documentation.
• Manage general office administration including filing, data entry, and document control.
• Support marketing or customer communications such as newsletters or product updates.
• Ensure compliance with company procedures, data accuracy, and record-keeping standards.
• Coordinate internal communications between departments to maintain workflow efficiency.
• Assist with aftercare enquiries and service requests.
Skills & Experience Required
• Previous administrative experience, ideally within manufacturing, construction, or trade supply environments.
• Strong organisational skills with the ability to manage multiple tasks simultaneously.
• Excellent written and verbal communication skills.
• High attention to detail and accuracy when handling data and documentation.
• Confident IT user with experience in office software and order processing systems.
• Professional, customer-focused approach with strong problem-solving ability.
• Ability to work independently and as part of a team in a fast-paced environment.
Desirable
• Experience in the glazing, fenestration, or construction supply sector.
• Familiarity with technical drawings, product specifications, or manufacturing terminology.
