Job Title: Administrator / Bookkeeper (Construction Industry)
Location: Ilford, Essex
Job Type: Part-Time, 2 Days per Week
Working Hours: Suggested 10:00am – 4:00pm (can be spread across 3–4 shorter days)
Salary: Pro-rated based on experience and agreed working hours
About Us
We are a growing construction and glazing company seeking an experienced Administrator/Bookkeeper with a solid
background in the construction industry. This is a long-term, part-time role for someone looking to be a key part of a close-
knit and professional team. You’ll work closely with our external accountants and report directly to the Managing Director.
Key Responsibilities
Bookkeeping & Financial Duties
• Maintain accurate financial records using Xero
• Post and reconcile bank transactions at month-end
• Raise and post sales invoices; assist with debtor tracking and collection
• Post purchase invoices; reconcile supplier statements and purchase orders
• Prepare and submit VAT returns, including VAT reverse charge
• Submit CIS returns monthly in coordination with our accountants
• Reconcile bank and credit card accounts
• Support monthly management accounts and year-end financial submissions
• Submit payroll data to the external accountant
• Maintain accounts receivable/payable ledgers and track outstanding balances
Administrative & PA Duties
• Act as Personal Assistant to the Managing Director—assist with scheduling, document handling, and general admin
tasks (e.g., managing parking fines, travel bookings, etc.)
• Handle phone calls and front-of-house reception duties with professionalism
• Perform general office administration, filing, and organisational tasks
• Liaise with external bookkeeping and accounting providers as needed
• Provide flexible support to ensure smooth day-to-day operations
Key Requirements
• Minimum 5 years’ bookkeeping experience (Xero essential)
• Construction or glazing industry experience is required
• Working knowledge of VAT reverse charge and CIS submission processes
• Proficient in Microsoft Excel and Word
• Strong organisational, written, and verbal communication skills
• Highly detail-oriented with the ability to prioritise multiple tasks
• Discreet, trustworthy, and committed to long-term employment
• Capable of working independently while remaining a team player
Working Pattern
• 2 days per week, with flexibility to spread across 3–4 shorter days if preferred
• Suggested hours: 10:00 AM – 4:00 PM
• Salary: Competitive and pro-rated based on experience and working hours
