department.

 

Job Description:

As an Internal Sales Administrator, you will play a crucial role in our procurement department,

supporting the smooth operation of our projects. You will be responsible for various administrative

tasks related to parts and equipment procurement, ensuring efficiency and accuracy in all processes.

This role is based in our industrial offices, reflecting the nature of our primary business functions.

 

Key Responsibilities:

 

1. Pricing and Negotiation:

- Negotiate pricing with suppliers to ensure cost-effective procurement of industrial materials.

- Establish and maintain strong relationships with suppliers to secure favorable terms.

 

2. Ordering and Purchase Management:

- Place orders with suppliers, ensuring timely and accurate delivery of materials.

- Raise purchase orders for parts and equipment as required by project specifications.

- Organize deliveries by coordinating with suppliers to ensure timely receipt of goods.

 

3. Invoice and Price Verification:

- Verify prices and negotiate with suppliers to obtain the best possible deals.

- Ensure invoices match purchase orders and resolve any discrepancies.

 

4. Engineer Support:

- Handle engineer requests for parts and equipment, providing support and assistance as needed.

 

5. CRM and Inventory Management:

- Update and maintain the CRM system with accurate and up-to-date information on orders, suppliers,

and inventory levels.

- Conduct routine checks and audits to ensure inventory accuracy and compliance with company

standards.

 

6. Data Analysis and Reporting:

- Analyze order patterns and identify any discrepancies or changes in trends.

- Provide reports on procurement activities, order status, and supplier performance to the

procurement manager.

 

 

 

 

 

7. Interpersonal and Communication Skills:

- Maintain strong, effective communication with site staff, suppliers, and internal teams.

- Confidently handle phone calls and inquiries from various stakeholders.

 

8. Policy Development:

- Assist in the development and implementation of procurement policies and procedures.

 

9. Cross-Department Collaboration:

- Work with other departments to coordinate procurement activities and optimize efficiency.

 

10. Site Communication and Strategic Information Management:

- Regularly communicate with multiple telecom company sites to stay abreast of all strategic

information and spending on accounts.

- Ensure alignment of procurement activities with site requirements and strategic goals.

 

11. Strategic Planning:

- Understand the strategic goals of the stakeholders and align procurement activities to support these

objectives.

- Contribute to the development and implementation of procurement strategies that enhance

efficiency and reduce costs.

 

Requirements:

 

- Experience: Previous experience in a similar role is essential; no previous experience in procurement

is necessary.

- Technical Skills: Proficiency in Microsoft Office Suite and experience with CRM systems.

- Organizational Skills: Strong organizational and multitasking abilities, with the capacity to prioritize

tasks effectively.

- Attention to Detail: Excellent accuracy in data entry and record-keeping.

- Communication: Good communication and interpersonal skills, with the ability to work well in a team

environment.
